Summary of Position:

The Advancement Services and Solutions Officer is primarily responsible for managing the donor database, ensuring that donations are promptly and accurately recorded, as well as performing administrative support related to the work of APA. The Officer is also responsible for ensuring that donors receive timely and high-quality responses to queries and acknowledgements for their donations.   

The position is also responsible for supporting the APA Director with managing external stakeholder relationships.

Main Duties and Responsibilities:

  • Record donations into e-Tapestry software, and maintain accurate donor records, reports, dashboard, and follow-up systems.
  • Maintain a log of all donor interactions to ensure continuity, institutional memory, and follow-up.
  • Ensure ongoing reconciliation of donations with UCA Finance and AKF Canada, USA, and UK. Support efforts to enhance the donor database’s functionality and assist in training APA team members on effective usage if necessary.
  • Working with the Head, Donor Engagement & Stewardship, ensure that high-quality and timely responses are sent to donor queries and donation acknowledgements are sent to donors on a regular basis.
  • Support the Director of Advancement and Public Affairs in managing stakeholder relationships by coordinating scheduling, follow-ups, meetings, and travel arrangements; assisting with the preparation, circulation, and archiving of correspondence and meeting materials; and tracking outstanding tasks to ensure timely follow-through on key commitments.
  • Assist with private donor-funded scholarship administration with various UCA departments. 
  • Manage production and distribution of UCA-branded merchandise and keep necessary inventory records, and ensure that merchandise is replenished on time and distributed across UCA campuses in Naryn and Khorog.
  • Support the tracking and reporting of the operational budget. Assist with hosting donor and volunteer visits and delegations. 
  • Prepare contract requisition forms, payment requests, and related financial documentation for vendors and service providers.
  • Provide administrative and logistical support to the APA department, including managing entries in SAP ERP and other relevant systems.
  • Perform other duties as assigned by the Director of Advancement and Public Affairs or Head, Donor Engagement & Stewardship. 

Required Qualifications and Skills:

  • Bachelor's degree (Master's preferred) and three years of experience managing databases and administrative duties.
  • Exceptional communication and interpersonal skills, and represent the institution professionally.
  • Fluency (both oral and written) in English and Russian is essential; proficiency in a language of the Founding States is preferable.
  • Strong organisational skills. Ability to keep confidential information secure.
  • Ability to gather and analyse data for management reports.
  • Proficiency with Microsoft Office, particularly Excel.
  • Strong organisational skills. High level of critical thinking, judgment, and discernment.
